Board Meeting Minutes
March 12, 2025
Call to Order- present Robin Williams, Terry Robbins, Tim Newman, Steve Budde, Debbie Miller, Juan Lopez, Julie Glass, Colin Benson
Approval of Minutes- The February minutes were approved unanimously with one correction that will be sent out to the board.
Purchases and Reimbursements- Tim Newman emphasizes the need for timely turn around on notification of purchases and reimbursements, hopefully within one week of the transaction for accounting purposes.
Treasurer’s Report- Robin Williams reports the current total assets are $26,120.22. The CD is doing well at $10,591. 22 and matures on April 20th with a current interest rate of about 4%.
Rides Committee- Terry Robbins reports that rides are scheduled through June. There are lots of new activities including Independence ride starts every other Sunday at 10 AM, Saturday family rides every other week, and Saturday gravel rides every other week. The 8 event rides have all been approved and have ride coordinators in place. These are:

Membership-Julie Glass reports she was able to get her new membership club email set up. Currently we are steady at 248 members. She is considering calling non-renewal members rather than emailing to improve engagement.
Spokes- Colin Benson reports that he is still having occasional technical issues but is working on it and open rate is about 57%
Monster Cookie-Ken Freeman was unable to attend. Debbie Miller reports that the route has been approved including signs required with Marion County and Ken is working to get that set up. Volunteers are coming in but there are still a lot needed. Capitol Velo has been loaning their tents to us for a while and enthusiastically agreed to do it again and also said they would call for volunteers to help with the Monster Cookie since we are all one community. Debbie Miller asked that we reciprocate by asking for SBC volunteers for their Mountain Biking State Championship event at Silver Falls on May 17th. She also asked that we offer our SBC tents to them for the event. The Board unanimously approved that motion and she will contact Capitol Velo. Safe Routes to School volunteering update: Debbie Miller reports that the coordinator of SRTS, Beth Schmidt, has been very grateful for the volunteer help from SBC. She reports that volunteers are showing up as scheduled, doing the work, and seem to be enjoying the experience. Beth reports that SRTS was awarded the Chair Award by the Mid-Willamette Valley Council of Governments Board Chair. SBC was also recognized and received an award at their annual dinner. The next schools for April are Candelaria and Morningside, at the same time, so many more volunteers will be needed. Beth is waiting for a Memorandum of Understanding from SK Schools for their own bike fleet to be obtained for the program next year. Debbie has asked Beth for more pictures and advertisement to help in the recruiting of volunteers.
San Juan Islands tour- The club tour coordinated by Steve Budde is going really well and the guess is that 20-25 people will be attending the 3–4-day event. Steve will get updates out about ferry schedules and possible routes.
Iron Man-Juan Lopez is the lead person for this event and he reports that we have had 9 people sign up so far for the July 20th event. SBC will man Aid Station #2 for the bike portion of the event. 30-40 volunteers are needed. Tim asks that some volunteers be assigned to help with unloading at the storage locker this year as that can be a big job.
2025 Budget- the 2025 budget proposal was reviewed and approved unanimously by the board.
New Business- Terry Robbins has been following up with his idea for a member forum on the SBC web page and has set up some sample groups, like gravel rides, new routes, and suggests possibly a San Juan Island tour member forum. The opportunities are there for many types of set ups and interactions.
General meeting- The General Meeting is scheduled for April 7th 6:30 PM at Painter’s Hall and the guest speakers are Ken Freeman and Beth Schmidt. Debbie Miller will arrange pizza and drinks for the meeting.
