Board Meeting Minutes
January 15, 2025

Call to Order- Present: Tim Newman, Ken Freeman, Julie Glass, Colin Benson, Robin Williams, Terry Robbins, Juan Lopez, Debbie Miller, Steve Budde

Approval of December Minutes-The December minutes were reviewed and approved unanimously

Treasurer’s Report- Robin Williams Reports that total assets are currently $27,467.33. The CD is doing well at $10,556.07 and will mature in April. The rates will be reviewed at that time to consider renewal. Quick Books went into effect January 1 without any problems. The budget draft will hopefully be ready by the February meeting.

Membership Update-Julie Glass reports that there are currently 249 active members, which is stable. Julie will reach out to non-renewals.
Terry suggested a list of members by zip code to help to tailor alternate club ride starts, and Tim will do that and share it with Terry and Julie.

Rides Committee- Terry Robbins reports that the rides are currently scheduled through the end of March. Currently 4 rides are without leaders. The proposed construction on Center Street will be watched and should be easy to avoid. The committee is looking at potential club gravel rides and has 3 demo rides set up for February and March. These are in the event Calendar and are not yet available for club ride credit. Debbie will post them on the club member Facebook page to boost awareness.

Steve Budde discussed a possible San Juan Island club tour in late August or early September. So far, 6 event rides have been proposed for club ride credit and will be evaluated at the March rides committee meeting. Per bylaws, up to 8 rides that meet criteria can be approved. Tim is working on organizing some family rides.

Monster Cookie Update-Ken Freeman reports that the MC planning committee had another meeting and the planning is moving forward. The decision to increase registration fees by $5 across the board was made. David will promote the volunteer call at the awards banquet meeting in January.

Salem-Keizer Safe Routes to School update-Debbie Miller reports the program is going really well. It is growing in popularity and demand at the schools. So far, we have had just enough volunteers from SBC to support the program, but more are needed to lessen the demands on those currently volunteering.
SK-SRTS has hired a new part-time employee to manage bikes as well as aspects of the program. His name is Jacob Lippert and he also works at Scotts Cycles.

Awards Dinner Update- Tim Newman reports 43 are registered so the minimum of 40 registrants are exceeded but can still go up to 60 maximum. He is working hard to put together a successful program and his goal this year is to keep the presentation more lighthearted and less fact-filled than last year.

Club Jersey-Tim Newman reports that Peak 1 is offering our classic yellow club jersey that we had last year from a different vendor, but with the same sizing and materials as our Monster Cookie jersey last year. Tim will look into the availability of a long-sleeved version as well as a price break with #50 and report back at the February meeting for a vote.

Donations Policy-Tim Newman brought up the donations policy put together by Jillian Trinkaus. The board has reviewed the policy and approved it unanimously. Tim will reach out to NW hub to make sure they are aware of the donations available through SBC and Debbie will reach out to SK-SRTS.

Spokes Update- Colin Benson reports the first issue went well with a lot of help from Dan. The software has a learning curve for him, but he thinks he’s mastering it. 1189 issues were sent with 560 opens for 47% open rate, which is lower than usual but tends to be lower this time of the year anyway. He is asking for any ideas for stories from members. Debbie suggested he put out a call for ideas to board members 2 weeks or so before the issues to remind them to send pictures and ideas to him. Debbie suggested the 5-question section be Ken Freeman, but Ken preferred to wait until right before the Monster Cookie since he is coordinating that. Ken suggested our new member who is the new fire chief in Salem, David Gerboth, and Colin will touch base with him.
