Board Meeting Minutes

October 9, 2024

 

1) Call to Order- Present: Debbie Miller, Tim Newman, Julie Glass, Jillian Trinkaus, Dan Shryock, Rob Gramenz, Norm Johnson, Ken Freeman, Steve Budde, Bonnie Beal, Colin Benson, Beth Schmidt

2) Approval of July minutes- Board reviewed July’s minutes and approved unanimously

3) Treasurer’s Report- Rob Gramenz reports that our current total bank account numbers show that the net amount is$29,906.00. We made $95.00 from Swag. There was a problem with ID theft from Tim Newman’s club card, but that has been resolved. Our CD as earned us about $500 so far.

4) Membership update- Julie Glass reports our current membership number is  259.

5) Spokes – Dan Shryock will be stepping down from his job as editor after 4 years effective January 1. Colin Benson has agreed to take over that job.

6) Rides committee- Tim Newman reports that rides are set through February. Michael Karnosh has agreed to take over his role with Terry Robbins continuing to build the events calendar.

7) General Election – Voting for new board members and officers will take place at our November meeting. Bonnie Beal, Norm Johnson, and Rob Gramenz will be stepping down. Robin Williams, Terry Robbins, Juan Lopez, Colin Benson, and Wendall Goff have expressed interest in board nominations. Steve Budde has been nominated for VP and Tim Newman for President. Debbie Miller has expressed willingness to continue as Secretary. Treasurer is needed.

8) Monster Cookie 2025 – The board voted unanimously for the next date to be April 27th, 2025, in keeping with our 4th Sunday of the Month tradition. Ken Freeman reports he will continue as event coordinator and is working on some aspects of the ride. He will plan a test ride in January. Debbie Miller expressed in interest in calling for more committee members even though the lead positions are filled, since some committee members have already indicated they will not be continuing in 2026. Transitioning others into the role would be easier with some experience in the role this year.

9) Feather flag- Tim Newman has been looking at more products for advertising and photo props for the Monster Cookie and other events. He proposed another feather flag for the Monster Cookie. Surveys of MC riders last year indicated they wanted more of a distinct finish, so the board suggested two feather flags for the finish marking with the club logo and Monster Cookie on them. Tim will look at that. The board voted unanimously that he will also be reimbursed $51.00 he spent on a feather flag recently.  

10) Safe Routes to School – Beth Schmidt came for part of the meeting and was informed that we were donating $2200 to Salem-Keizer Safe Routes to School The board voted unanimously to approve this donation. Iron Man 70.3 Oregon gave SBC an $1100 grant after our work volunteering at the Iron Man event in 2024. SBC is matching the donation to make the total $2200.

 

11) T-shirts- Debbie Miller brough forth a proposal for stock T-shirts to sell at various events. The board voted unanimously to approve the purchase of 50 stock T-shirts from Promotions West. The cost is $13.95 per shirt and they will be 50/50 cotton/synthetic blend with a bike image and the saying “You are one ride away from a good mood” and the SBC logo on one sleeve.

 

12)  promotional hat sales – Tim Newman has been looking at promotional hats for sale at events. There were strong opinions on the board about the type of hat we should order, so the decision was tabled and a hat committee will be formed to look into this in more detail.

 

13) Salem Art Fair – Tim Newman reports that this event was fabulous. We stabled more than 60 bikes with 23 volunteers with no issues, promoted the club, and gained memberships. Kids loved the spin the wheel game adapted with kid’s questions. Three young people who heard about the club at the Art Fair joined the club for our Sunday afternoon ride and had a great time.

 

14) Donation Draft Policy – The club has frequently done donations over the years, but never had a clear donations policy. Jillian Trinkaus put together a draft donation policy after reviewing the policy from other clubs and reviewing our own bylaws. Discussion was undertaken about the draft policy and some edits were suggested, including allowing the board to make decisions on donation applications rather than at the general membership meeting in November. Tim will check into this with Doug Parrow and if he agrees, the board voted unanimously to adopt the policy with the suggested amendments.

 

15) Next meeting-The next meeting is the General meeting and potluck at Painter’s Hall on Tuesday November 12th. The Annual Dinner will be January 26th, possibly at the Elk’s lodge although Tim will look into the possibility of Marco Polo as well.
